You can send custom notifications through the TSAMM system at any time. Unlike automatic notifications, these notifications do not depend on the user’s notification settings.
Custom notifications can be used to send information pertaining to an item directly from TSAMM. This is helpful because it tracks the sending of the notification and allows you to inform people who may not have been automatically notified.
These notifications should not take the place of Assigning an item to a TSAMM user. You should continue to use the Assign To feature to place the item on someone else’s desk. For example, if I have an item and I send a custom notification to my supervisor asking them to perform a task, they will receive the notification but upon accessing the item may not be able to perform the required steps because the item is not assigned to them. In this scenario, it is better to use the Assign To feature.
To send a custom notification, open the agenda item and click the envelope icon in the upper right corner.
Next, choose the recipient(s) of your notification. There are three sections to enter recipients.
• TSAMM users with access to this item – This lists any TSAMM users who are already associated with this item. This list is helpful in quickly identifying those who may be interested in updates on this item.
• All TSAMM users/groups – This lists all TSAMM users at your location and at any location above or below yours in the reporting hierarchy.
o Important Note: These users may not already have access to this item in TSAMM. By adding them as a recipient, they will not only receive the notification, but they will have continuing access to this item in TSAMM.
• Other email addresses – This allows you to enter any email addresses for recipients who are not TSAMM users.
o Important Note: These users will receive the notification, but since they are not TSAMM users they will not have access to the item in TSAMM.
Once you’ve chosen your recipient(s), provide a subject and body for your notification.
TSAMM will track any notifications that are sent and will show the sender and the recipients in the History/Comments section. However, the body of the email will only show in the History/Comments if you check the Show in the comments box.
If you find yourself sending the same, standard notifications often, you can use the My Recent Notifications feature. Click My Recent Notifications to see a list of your most recently sent messages. Click Copy next to the notification you wish to copy. This will populate the Subject and the Body of your notification, saving you from having to re-type.
Once the message is complete, click Send.
Notifications will be delivered, via email, to the chosen recipients. The email message contains the following information:
• Sent by
• Agenda Item – Number and Title
• Current Status
• Board/Council Actions
• Executive Summary
• Attachments – shown as links
To view the notification in the History/Comments section, click the Notifications tab.
